The Support Specialist role is essential in providing comprehensive support to the Chief People Officer (CPO) by executing various key tasks that enhance the effectiveness of the People function. Collaborating closely with the CPO, the specialist manages routine administrative duties, special projects, and executive reporting requirements. This includes conducting thorough research, drafting, and delivering a diverse range of people-oriented reports and communications, tailored to meet the needs of various stakeholders, including Board-level presentations that consolidate information from the People team. In addition to facilitating day-to-day operations, the Support Specialist is responsible for introducing innovative ideas across CPO-directed channels and platforms through ongoing research.
Job ObjectivesStakeholder Engagement: Acts as a liaison between the CPO and various departments, ensuring alignment and collaboration on people-oriented initiatives. Organises leadership meetings, managing timelines for deliverables, and ensuring timely distribution of agendas. Works closely with stakeholders to ensure the effective execution of various initiatives.
Events and Project Coordination: Supports the CPO in advancing strategic initiatives and events that promote a positive organisational culture. Conducts thorough research to support CPO initiatives and creating tailored communications for various stakeholders related to events. Collaborates closely with the CPO on routine administrative duties and special projects to streamline effectiveness.
Communication Facilitation: Prepares and co-ordinateing a diverse range of people-oriented reports, ensuring they meet the needs of various stakeholders, including Board-level presentations consolidating information from the People team. Organises leadership meetings, managing timelines for deliverables, and ensuring timely distribution of agendas. Handles sensitive information with the highest level of confidentiality regarding employee matters, organisational changes, and strategic plans.
Document Management: Analyses HR metrics and data to provide actionable insights for informed decision-making within the CPO office. Maintains comprehensive documentation related to CPO initiatives and projects, ensuring accuracy and accessibility.
Process Improvement: Introduces innovative ideas across CPO-directed channels and platforms through ongoing research, continuously seeking ways to improve processes.
QualificationsDegree or Diploma in Human Resources, Communications or equivalent.
Experience+2 years experience in a support orientated role in the Human Resources environment, with exposure to cross-functional HR projects and a good understanding of HR information, reports and presentations and the uses of digital and related technologies including relevant platforms. Experience in Retail industry.
Knowledge and SkillsDemonstrable track record of providing general business/office support in terms of reporting at various levels from internal team reporting and feedback, through to executive board reports and related reporting inputs. Good understanding of gathering and analysing data from various sources for reporting purposes. Strong knowledge of reporting, presentations and communication trends and best practices. Proficiency in Microsoft Office 365 with intermediate Excel and PowerPoint skills. Motivated self-starter, personal drive with a passion for making things happen, and energy with strong integrity - takes accountability for actions and mistakes. Strong and confident communicator - has a keen interest and ability in communication. Impeccable written and verbal communication skills along with strong collaboration and communication ability in a multi-stakeholder, cross-functional environment. Collaborative partnering - Builds meaningful and sound relationships both internally and externally. Open, honest, and direct and comfortable giving and receiving constructive feedback. Thinks and acts both independently as well as collaboratively. Result-oriented and quality focused setting stretch goals for self and others, while remaining focused and working tenaciously toward meeting and exceeding expectations. Ability to work under pressure and manage multiple demands while organising, prioritising, and reordering workload in a rapidly changing and fast-moving environment. Embracive of change and new approaches with an ongoing learning mindset - Curiosity to research best practices, proactively initiate and drive ideas and facilitate the implementation and acceptance of change.
